TERMS AND CONDITIONS

Please read this section carefully before filling in your booking form

1. FEES

1.1 Oceanrock will reserve all places after receiving a completed booking form and a deposit of £50 for 2-day trips and £100 for 5/7-day expeditions.

1.2 Places on a course can only be reserved in writing by letter, e-mail or facsimile transmission and not by telephone.

1.3 The balance of the fee is payable 6 weeks prior to the commencement of the trip/expedition. In the event that the balance is not paid, Oceanrock will have the discretion to treat this booking as cancelled by the client and resell the trip place.

1.4 The whole trip fee is required to reserve a place for any booking made within 6 weeks of the commencement of the trip.

2. CANCELLATION BY CLIENT

2.1 All cancellations must be in writing.

2.2 Oceanrock, once notified by letter or facsimile transmission of the cancellation, will endeavour to re-sell the trip place(s).

2.3 In the event that the course is resold prior to the commencement of the course, the client will receive a full refund, less 10% of the trip fee to cover administration costs.

2.4 Refunds will only be made after the start date of the trip has commenced.

2.5 In the event that the course is not resold prior to the commencement of the course, the client will be charged the following cancellation fees: -

2.5(a) 60% of the total paid where cancellation takes place up to 6 weeks prior to the commencement of the trip.

2.5(b) 75% of the total trip fee where cancellation takes place less than 6 weeks before commencement of the trip.

2.5(c) 90% of the total trip fee where cancellation takes place within the final 2 weeks before the commencement of the course.

2.6 Substitution of the original student/client for another can be made provided at least 2 weeks notice is given by the substituted student/client to Oceanrock and the substituted student/client satisfies the requirement of the trip/expedition. All substitutions must be made with the consent of Oceanrock with both the substituted and substituting student/client being jointly and severally liable for the total trip fee as well as an administrative cost equal to the value of 10% of the total course fee from such a substitution.

3. CANCELLATION BY OCEANROCK

3.1 Whilst every attempt is made to ensure that advertised trips and expeditions actually run, Oceanrock will notify the client of cancellation as soon as practicable where it believes, on reasonable grounds, that cancellation is necessary due to dangerous and/or unsuitable conditions for the course activity.

3.2 Oceanrock shall notify the client of cancellation not less than five days prior to the commencement of the trip where numbers as a result of client(s) cancellation failed to reach a workable minimum for commencement of the trip.

3.3 Cancellation by Oceanrock does not affect a client’s right to a refund of travel costs that he/she may have incurred prior to the cancellation and since lost except in the circumstances set out in clauses 3.1 and 3.2.

3.4 In the event of cancellation clients will be offered the choice of the following options: -

3.4(a) Full refund of the trip fee paid.
3.4(b) Another trip/expedition on different dates.

4. BOOKING FORM CONDITIONS

If you would like us to invoice a Company or Authority, please enclose a written Purchase Order with your booking form.

I have had brought to my attention the terms and conditions relating to this booking, in particular, those concerning cancellation.

I understand that bookings are accepted on the understanding that Oceanrock safety regulations are observed.

I accept that Oceanrock is not under any liability whatsoever in respect of loss or damage to personal property, not caused by the negligence or default of Oceanrock, its suppliers, its agents and employees whilst attending the trip/expedition.

I have had my attention drawn to the information on insurance cover, terms and conditions (if you are signing for someone under the age of 18 please check that we receive details of any medical or other conditions which may be relevant). If you are unsure about a condition’s relevance, please call and ask. Any disclosures will be treated in the strictest confidence.

Oceanrock operates a cancellation policy where, should numbers fall below a safe workable minimum, Oceanrock, in the interests of the safety of the client(s) will cancel the trip/expedition within 5 days of the commencement of the trip/expedition.
